Finton House School handles all their cover requests and approvals using Frog’s forms.
Deputy head, Katie Cousins explains:
“We knew we could get teachers to complete a form on Frog for cover requests, but it was only when we started to properly look at it that we realised it could handle the authorisations too”.
Katie set up a form with all the details required and included several “hidden fields”. These are form elements which do not appear when first filling in the form and are only visible when the submission is viewed via the Data Viewer. With some dynamic support from Graham Quince, the result was just what they school needed.
When a teacher submits a request through Frog the nominated person, in this case the headteacher, is emailed automatically. When they log into Frog, they’re able to see all requests and can update each submission from the hidden fields option. The user picker field is also added to the form, which allows the member of staff organising cover to receive an alert after authorisation has been given.
All the form entries can be exported as a CSV spreadsheet, which makes long term record keeping and auditing possible. Teachers can only ever see their own entries and, thanks to the form’s Access Control feature, the Headteacher is able to view all the requests.

While early days, Katie has already noticed an impact:
“It is working really well and our colleague in accounts is thrilled there are no more paper forms for her to process when it comes to paid/unpaid leave etc…”
